Adding Printers
Below are instructions on how to install the printer(s) on your computer, how to setup scanning from the printer and how to setup secure print.
To install the new printer(s), please follow the instructions below:
Right-click the windows button and choose Settings.
Click Devices.
Select Printers & scanners on the left-hand pane and click ‘+ Add a printer or scanner’.
From the drop down list select ‘Work or school printer & scanner’. Windows will automatically start searching for the new printers and list them below.
The new printer names will start with IPPF CO Canon iR-ADV 6265 PCL5e with the respective floor name (as shown below).
Click on the printer for your floor and click Add Device.
It will be installed in a few seconds.
Once it’s done it will show as ‘Ready’.
You can repeat the process, if you want, to add the other two printers as backup.
Once the printer on your floor is installed, you can set this printer as the default. To do this click the printer and select Open queue.
Click the Printer menu and select ‘Set As Default Printer’.
To Scan from the new printer please do the following:
Go to the printer and select ‘Scan and Send’ from the main menu.
Click Address Book to check if your name is listed. All the usernames from the old printers have been transferred to the new printer.
If your name is visible, click it, place the document(s) on the feeder tray, select your name, click OK and press the Start button and it will be scanned and emailed as a PDF to your Inbox.
If your name is not listed in the directory, do the following:
Click the Address Book.
Select Register new destination.
Select E-Mail.
Enter your Name and Email ID using the on-screen keyboard and click OK.
Now your name will be listed in the Address Book and you can select it, and scan the document to your mailbox.
How To Setup Secure Print
Right-click the windows button and choose Settings.
Click Devices.
Select Printers and scanners on the left-hand pane.
Scroll down to the printer on your floor and click it.
Click the Manage button.
Select Printing preferences.
Change the Output Method to Secure Print and choose Yes, when prompted.
You will then be asked to create/enter your own code and click OK.
The above sets secure printing for all jobs but you can select it, as needed, from the application you are printing from. E.g., when printing from an application like Word, you can check before sending a print job click Printer properties and select Secure Print or normal Print (which won’t require a code).
Once the document is sent, go to the printer, but do not click the Secure Print button on the home page.
Click the > arrow button on the screen to scroll through, until you see this icon and select it.
You will then see your print job in the queue.
Select the job and enter the code you created in the box and click OK and the document will be printed.
