Post Travel
Step 1: Expenses
When you return from your trip you will need to complete your Travel Requisition by adding expenses and by completing your Post Travel Checklist.
- Log on to PRISM and navigate to the Trips Page (click Travel on the menu).
- Click on the Add Expenses link next to your trip which you just returned from. This link will open the Expenses page.

Add Expenses
- To add expenses simply click the Add Expenses button

Add/Edit Expenses popup page will appear.
- Input details of expense, being careful to choose the correct payment basis and category.

Ref: Add the reference number given to the relevant receipt, this will help the Finance Assistant when checking expenses.

Category: Put in expense Description
- Ensure that you have chosen a charge to budget line and included a charge code (this should update automatically)
- Upload a scanned receipt or a photograph of a receipt.

- Then click Submit button.
Add Per Diem
- To add Per Diems simply click the Add Per Diem button

Add/Edit Expenses popup page will appear.
- Check if all details are correct
- Then click the Submit button to add Per Diems to expenses.

Step 2: Post Travel Checklist
The system has been configured to check whether the Post-Travel Checklist has been submitted before allowing expenses to be submitted on the system.
- To complete Post Travel Checklist click Prev on the navigation column on the right.
- Complete the three questions
- Then click Submit if there was no incidents on your trip.

Completing the Incident Form
- To complete the Incident Form click the Incident Form button and complete the form.

- Click Save , this will close the pop screen. Now Submit your Post Travel Safety Checklist
- Click Next on the right to return back to the Expenses page
- Now click on Submit To Finance button on the right column to submit to finanace

Comments - After Submition to Finance
The travel expenses comments become available once expenses are submitted to finance. This allows the finace administrator and the traveler to exchange information an follow up without having to use emails.
Note: This communication is not traceable and not linked with trip on system in any way.
When a user adds a comment to any trip, the system will send an email to traveler and finance admin person for that region. User can see all history of comments added for that trip in grid view on the same screen.

We have made it very easy for users to find help on PRISM by providing a Help & Support widget which can be found at the bottom of every page. This allows you to submit tickets without having to look around for a support portal or remember IPPF support emails.
For help simply click the Help & Support button,

Make sure that the System and region is correct
Then click Send Feedback

You can also attach screenshots or take a screenshot by clicking the camera icon. You can also search through IPPF's knowledge base through the Help & Support widget.
